As we prepare to gather in Orlando; we are pleased to share our safety plan for the CMA|SIMA 2022 Annual Conference. The COVID-19 environment is quickly changing and as a result, we will closely monitor the guidelines recommended by the CDC, WHO and the local government. We remain committed to providing a safe and healthy environment for all our attendees. Our layered approach to illness prevention, coupled with multiple control procedures and the cooperation from our attendees will help in keeping this event a success. Please read below for our Action Plan (Requirements may be subject to change based on local & federal guidelines and any situational developments)

Event Policy

CMA|SIMA Actions:

Upon arrival at registration, CMA|SIMA will require either proof of a negative COVID-19 PCR test, administered within 72 hours prior to arrival, or proof of full COVID-19 vaccination to attend the 2022 Annual Conference. (Booster not yet required)

To manage this protocol, we have partnered with Health Pass by CLEAR for Domestic travelers, which provides a secure, digital proof of COVID-related health insights via the free CLEAR mobile app. All attendees, visitors and guests must complete CMA|SIMA’s entry requirements using Health Pass by CLEAR.

  • Proof of vaccination & proof of negative COVID-19 PCR test will be accepted on-site for our international travelers.
  • All health communications on site will be pushed out via notifications on the CMA|SIMA Conference App.

CMA|SIMA and the Hotel will offer physical distance between chairs at sessions as much as possible. We will also provide outdoor seating options for Breakfast & Lunches.

Recommended Actions for our Attendees:

  1. If you are unvaccinated, wear a mask indoors
  2. If you are vaccinated, consider getting your booster before attending.
  3. Consider getting your flu shot
  4. Do not travel if you are feeling sick or if you’re experiencing symptoms associated with the flu or COVID-19 variants!
  5. If you have symptoms on site:
    1. wear a mask
    2. see the on-site health care provider to be tested
    3. isolate if symptoms are significant and/or the test is positive.
  6. Utilize the hand sanitizer stations that are placed throughout the hotel

Step 1:
Download and Enroll in CLEAR

  1. Have your vaccination records? Download the clear app, open the app & scroll to the blue “Health Pass: Digital Vaccine Card” tile.
  2. Tap “Add my Vaccination” and tap the “Get Started” button
  3. Enroll or verify your identity in CLEAR by creating a member account.
    1. New to CLEAR? When prompted, enter your email address, phone number, and have your government issued photo ID ready to complete enrollment.
    2. Already a CLEAR member? Use the email address associated with your membership and snap a quick selfie to verify your identity.
  4. Continue to follow prompts on the app to securely confirm your proof of vaccination

Step 2:
7 Days prior to the event and before arrival.

  1. Open the CLEAR app and tap on “Create your Health Pass” tile
  2. Enter the event code provided by CMA|SIMA, in the “Have a Code” field. Health Pass Event Code: EFATTENDEE209
  3. Follow prompts on the app to connect your CLEAR account to the CMA|SIMA 2022 Annual Conference.
  4. REMINDER: If you are providing proof of a negative PCR COVID-19 test, the test must be administered within 72 hours prior to the event. Add your negative test at the appropriate time.

Step 3:
Prior to departing for Orlando, complete your health pass for faster entry at check-in.

  1. Open the CLEAR app
  2. Confirm your identity with a quick selfie, then complete the health survey
  3. Tap “Open Health Pass” to get your result. Green means you’re good to go!

On-Site Validation and Badge Pick-up

To satisfy our entry requirements, all attendees and guests will have to complete a validation process to gain access to the CMA|SIMA 2022 Annual Conference on-site.

  • At a CMA|SIMA registration check-in area, attendees will present their valid CLEAR Health Pass for review by CMA|SIMA staff. If all criteria are met, attendees and guests will be given their Conference badge.
  • Once an attendee has received their badge, they are free to participate in all Conference activities.
  • For the most efficient entry possible, every attendee and guest should enroll with CLEAR before the event to complete their COVID-19 pre-screening. Once your vaccination or test record has been uploaded to the platform, it can typically take up to 30 minutes for your status to be verified. We encourage all attendees to complete this process at least 24 hours prior to arriving at the event.

*Please note bulk badge pick up will not be allowed. Each individual must be validated onsite and pick up their own badge. No exceptions will be allowed.

  • Wear a mask over your nose and mouth – masks are required on public transportation,
  • Wash your hands often or use hand sanitizer (with at least 60% alcohol).

Assumption of the Risk and Waiver of Liability Relating to Event Access By Participants

The novel coronavirus, COVID-19, has been declared a worldwide pandemic by the World Health Organization. COVID-19 is extremely contagious and is believed to spread mainly from person-to-person contact.

As a result, federal, state, and local governments and federal and state health agencies recommend social distancing and have, in many locations, prohibited the congregation of groups of people. Governmental restrictions may change at any time without prior notice. As such, CMA|SIMA – Category Management Association & Shopper Insights Management Association (“CMA|SIMA”) cannot guarantee eligibility to travel or to participate in the CMA|SIMA 2022 Annual Conference (“the Event”) if restrictions change. Additionally, if Event Attendees choose to attend the Event and enter onto the Gaylord Palms Resort (“HOTEL”) premises, they may be exposing themselves to and/or increasing your risk of contracting or spreading COVID-19. CMA|SIMA and its members, officers, officials, directors, instructors, contractors, agents, employees, and any other representative (collectively “Entities”) and the HOTEL will seek to implement preventative measures to reduce the spread of COVID-19 consistent with the guidance and recommendations of public health agencies for slowing the transmission and exposure to COVID-19 which may include, but not be limited to, health questionnaires for all Event participants, sanitation procedures, and physical distancing measures at the HOTEL and during the Event.

By registering and/or agreeing to participate in the Event, you, on your behalf and on behalf of each individual included in your registration and/or travelling with you (“Registrant”), acknowledge the contagious nature of COVID-19 and voluntarily assume the risk that you may be exposed to or infected by COVID-19 by accessing the Event in-person and that such exposure or infection may result in personal injury, illness, permanent disability, and death. As such, you accept the terms of this Assumption of the Risk and Waiver of Liability. Registrants understand that the risk of becoming exposed to or infected by COVID-19 may result from the actions, omissions, or negligence of yourself and others, including, but not limited to, Entities, HOTEL, their respective employees, agents, contractors, volunteers, and other Event participants. Registrants agree to abide by all preventative measures (collectively “Measures”) put in place by CMA|SIMA, HOTEL, their respective employees, agents, contractors, and volunteers at any time prior to and during the Event. Registrants acknowledge that personal failure to follow these Measures may result in being removed from the Event and all related activities without any refund or reimbursement. Finally, Registrants acknowledge that no promises, representations, or affirmations of fact were made to you concerning the safety or danger associated with traveling to the Event or participating in any activity or interaction related to or associated with the Event.
